The system displays the following detail at the top of the page.   

Employee Code

The unique code and name of the employee.

Request Status

The system displays the status when you save the changes made to the contact information details.

 

If the system parameter requires the changes you make, to be authorized by the supervisor within the stipulated time, the system displays the request status as “Pending for Authorization”, when you save the changes.

 

If the supervisor gives the authorization within the stipulated time, the system displays the request status as “Current.

Pending With

The code and name of the employee with whom the change request of the employee is pending with.  

Hire Date

The date on which you were hired.

Rehire Date

The date on which you were rehired.

Confirmation Due On

The system displays the date and time on which the employee will be confirmed. The confirmation date and time will not be prior to the date of birth and the hire date. In case of rehire, it will not be earlier than the rehire date.

Actual Confirmation On

The system displays the date and time on which you were actually confirmed in the job. The confirmation date will not be prior to the date of birth and the hire date. In case of rehire, it will not be earlier than the rehire date.

Service Reference Date

The system displays the service reference date

 Experience

The system displays the years and months which the employee worked in the organization.

    You can change the following details in Personal Information.

Pronoun

The preferred gender pronoun of the employee, for example, (He/Him), (She/Her) and (They/Their).

Title

The title which you can use for your name, for example, “Mr”, “Ms”, “Dr” etc. Select the required value from the drop-down list box.

First Name

Your first name. For example, if your full name is John Smith Anderson, John is your first name.  When you modify this field information, the HR user must authorize it.

Middle Name

Your middle name. For example, if your full name is John Smith Anderson, Smith is your middle name.  When you modify this field information, the HR user must authorize it.

Last Name

Your last name. For example, if your full name is John Smith Anderson, Anderson is your last name.  When you modify this field information, the HR user must authorize it.

Known As

The name by which you are usually known as. For example, if your first name is Carolyn, you might generally be known as “Lynn”.  When you modify this field information, the HR user must authorize it.

Legal Name

Your legal name.

Gender

The system displays your gender, whether male or female

Marital Status

Your marital status, for example, Married, Single, Divorced etc. Choose the   required option from the drop-down list box.  When you modify this field information, the HR user must authorize it.

Country

The system displays the name of the country to which you belong.

State

The system displays the name of the state to which you belong.

Date of Birth

The system displays your date of birth.

Age

The system displays your age as on date.

Ethnicity

The system displays your ethnic identity, for example, Asian, Caucasian, African etc.

Citizenship

Your citizenship, for example, India, Singapore, Chinese etc.  Choose the required option from the drop-down list box. When you modify this field information, the HR user must authorize it.

Nationality

Your nationality, for example, Indian, Singaporean, Chinese etc.  Choose the required option from the drop-down list box. When you modify this field information, the HR user must authorize it.

Religion

Your religion, for example, Buddhist, Hindu, Muslim etc.  Choose the required option from the drop-down list box. When you modify this field information, the HR user must authorize it.

NRIC or FIN Number format           

The format of your NRIC or Foreign Identification Number (FIN). The system displays the format of the NRIC / FIN number as X9999999X, where X is a character and 9999999 are numeral values.

NRIC or FIN Number

Your NRIC / FIN. If the country is Singapore, then system will display the number according to the format X9999999X.  When you modify this field information, the HR user must authorize it.

If the Social Personal Number (SIN) of the employee is not entered, the system will display the NRIC / FIN in the text box.

Requested On

The date on which the employee submitted his/her request for changing the personal information details.

Comments

The remarks of the authorizer pertaining to the change request.

 

Note: If ‘Display employee gender and demographic information in Personal Information’ parameter is set as ‘No’, the following control would be disabled in personal information section.

You can add/change the following details in contact Information section. If the parameter of ‘Enable Contact Information section in Request change in personal information ‘ is set as ‘Yes’ the contact information section would be enabled. It contains the following details for each contact type.

 

Note: It is mandatory to provide the contact information details of at least one contact person. Use the corresponding fields in the “Emergency Contact Information” group box below to enter the details.


1. Name

The name of the first contact person.

Relationship with Employee

The relationship of the contact person with you, for example, Mother, Father, Spouse, Son etc. Choose the required option from the drop-down list box.

Phone

The phone number of the first contact person

Mobile

The mobile phone number of the first contact person

2. Name

The name of the second contact person

Relationship with Employee

The relationship of the second contact person with you, for example Mother, Father, Spouse, Son etc. Choose the required option from the drop-down list box.

Phone

The phone number of the second contact person

Mobile

The mobile phone number of the second contact person

Remarks

The remarks you want to enter about the changes you have made to your personal information details.

Effective From

The system displays the date and time from which the current record has been in effect.

Modification Option

Select the modification option, either “Correct” or “Update” from the drop-down list box. By default, the value will be blank. If no changes are made to the recorded details, you cannot use the “Update” option from the drop-down list box.

New Effective From

If you select the “Update” option, the system displays the Guidance Text “Please Enter the "New Effective From" date and time if the Modification Option chosen is "Update" ”, near the "Modification Option" drop-down list box. You should specify the “New Effective From” date and time. The value you specify for the New Effective From date and time should not be  earlier than the existing Effective From value. A new personal information record with the modifications you have made will come into effect from the new date and time you specify. The value can be entered in the user defined date and time format. By default, the value will be blank.
